How to manage users

You have control over who can access your NewZapp account. To do this click on your icon in the top right corner of NewZapp and click on Account Management and then My account.

From this screen click Users. Only people who have manage users permissions will be able to access this heading. There's a lot of information in this screen so we'll break this down piece by piece.

  • At the top of the screen you can see the number of licences left on your account. You will need to have free licences to add a new user, so if you need more licences you can either remove an existing user or contact your account manager about purchasing additional licences.
  • The main bulk of this screen is the list of users already set up on your account. You'll be able to see the email address their account is set up with, when they were added, when they last logged in (useful to know if you're looking to remove users), whether they've logged in with a Username/Password or through Microsoft and what permissions the users already have.
  • On the right hand side you'll have the buttons to edit the permissions for a user or delete them. You are not able to edit or delete your own account.
  • At the bottom of the screen you'll see a chart that shows the ratio of allocated to allocated users as well as how many have logged in a username and password, through Microsoft or are unallocated. We recommend logging in through Microsoft for the extra security that provides. 

To add a new user click on the Invite User button at the top of the screen and you'll see a window like the one below where you can enter the new users name and email address and determine what permissions you want them to have. Once you're done, click Invite User and they'll be sent an email with a link for them to join your account.

To add a new user click the +Invite User button in the top right corner and you'll a see a window like the one below where you're asked to enter the users name and email address and then select from a number of preset roles to control the users access in NewZapp.

You will also see at the top of the list a toggle for Custom Role. If you click this, NewZapp will show you the different permissions available and you can manually pick and choose which ones you want.

If someone doesn't have access to a section of NewZapp, for example if Create & Send was unticked, they would still see that option in their NewZapp account, but if they tried to click into it they'd see a message like the one below.
