Cleaning out your old contacts

Building a growing contact list is always exciting—it means more people have the chance to see your emails! But sometimes, even great emails don’t get opened. If you’ve got contacts who aren’t engaging, it might be time to tidy up your list and focus on the people who are excited to hear from you.

Creating a Segment to find the contacts that aren't engaging.

The easiest way to see which contacts aren't engaging is to see who hasn't opened in email in a while and a segment is perfect for this. In Contacts select Segments at the top of the screen and then Create Segment.

Create a name for your Segment and a description if you'd like and then you'll need to pick a group to use as the basis for the segment but for this example I'm going to use my All Contacts group. Once you've selected your group click Create Segment at the bottom of the window.

Now that the segment has created its time for us to apply filters to find the contacts that aren't engaging. Click Add Filter and in "Field" scroll to the bottom of the list and select Opened in the behaviour section. Set the Operator to be "Not in last X Days" and then in the Value section you can set how many days its been since someone opened an email.

Once you're happy click Apply and then Save Changes in the top corner.

I want to see which of my contacts hasn't opened any emails I've sent in the last year so my filters look at this.

Because Segments are live lists, this will constantly keep itself up to date, so don't be worried if you check this segment a while later to find that there's other contacts there.

Putting these contacts into a new group

So now that your segment has identified the contacts that aren't engaging with your emails (hopefully its not too many!) what do need to do to remove them? Well at the top of the list of contacts there's an Export button. Click this and you'll get a CSV file with these contacts that you can download.

Now go back to the Groups section in Contacts and click New Group. Make sure this Group is set to Private so that your contacts can't add themselves to it when they manage their preferences. You can add a description and a tag if you'd like to.

Now you simply need to upload the CSV file we downloaded a moment ago into this group with the Upload a File option under Add Contacts.

Don't worry about creating duplicate records for these contacts. During the upload process NewZapp checks if the contact already exists (which will be the case with all of these contacts) and then copies the existing record into the new group.

Deleting the contacts from NewZapp

OK so now we have a Group in Contacts populated by contacts who've not opened any emails we've sent in the last year. Time to clear them out!

Select the tickbox next to one of the contacts and at the top of the list and select the option at the top of the screen to "Select all X contacts" this will select all of the contacts in the group. Then Click on the Actions drop down box, and select "Delete from Your Account". This will delete these contacts from your NewZapp account completely including from any other groups they might have been part of.
